TouchBase Buyer's Tour Guide

The TouchBase Buyer's Tour simplifies scheduling and organizing property showings, making it easy to organize your day. You can access the Buyer's Tour by clicking on “Buyer's Tours” in the TouchBase menu on the app or through the browser menu.

Creating a Buyer's Tour

  1. Open the Buyer's Tour: This section displays all your upcoming and past tours. A search bar at the top allows you to filter tours, and your search persists even when switching tabs.
  2. Start a New Tour: Click “Create a New Tour.”
  3. Assign a Buyer: You can search for an existing buyer or create a new contact. When creating a contact, enter the first and last name, email address (required), and up to four phone numbers and email addresses. Click “Save” once completed.
  4. Set Tour Date and Time: Select the start date and time for the tour and save your settings.

Adding Listings To Your Cart

The Buyer's Tour integrates with the MLS. Now, when you click on the TouchBase button from your MLS, you have the option to add a listing to your cart in addition to sending messages. You can then add it to as many Buyer’s Tours as you wish.

Adding Destinations

  1. Click “Add a Destination” or use the plus icon.
  2. Search for the listing by agent name, property address, or MLS number. If you have added listings to your cart, you can access them here.
  3. Select a listing from your cart and proceed to the showing request message.
  4. The system automatically calculates the start time based on your tour sequence. You can adjust this manually if needed.
  5. Save the showing to your cart.

Adding Waypoints and Pauses

  • Waypoints: Add stops such as lunch breaks by clicking the plus icon and selecting “Waypoint.” Search for the desired location and save it to the tour.
  • Pauses: Click the plus icon and select “Pause.” Choose a duration (5-60 minutes) to account for breaks or adjust for traffic delays. Pauses help ensure realistic travel times.

Optimizing and Adjusting the Tour

  • Click the “Optimize Tour” button to arrange showings in the most efficient order.
  • You can manually reorder stops using the grip bars and re-optimize as needed.
  • Click “Show on Map” to visualize the tour route with driving instructions.

Managing Showing Requests

  • Sending Requests: Once all destinations are set, send all showing requests at once.
  • Editing Showings: Before requests are sent, you can edit any stop by clicking the pencil icon.
  • Canceling Showings: After sending, you can only cancel individual showings.

Tracking Status

Icons indicate the status of each showing:

  • Gray: Requests not sent
  • Yellow: Pending confirmation
  • Orange: The schedule has been changed
  • Red: Canceled by listing agent
  • Green: Confirmed

When you're in the list of tours, the icon representing the tour will correspond to the lowest level of confirmation.

For example, if a tour has three stops: Two of them are confirmed and one has been canceled. The icon representing the tour will be the red one for caoncellations. The other showings are still confirmed.

Sharing the Tour with Your Buyer

Once all showings are confirmed, you can share the tour with your buyer via email by clicking on the "Share with your buyer" link at the bottom.

Managing Showings After Sending the Requests

Once you've sent the showing requests for the tour, you can still cancel or modify the showings.

  • Open the tour
  • Select the showing you want to cancel or modify. This will take you to the showing request message.
  • Click on "Reply" in the bottom corner.
  • Select "Modify Showing" or "Showing cancellation", as needed.
  • Send the showing modification or cancellation message.

Canceling or Deleting the Tour

  • To delete the entire tour and cancel all showings, use the delete button at the bottom of the tour screen.
  • To cancel a specific showing, click the listing and send a cancellation request.
